Privacy Cookies Terms of Use

This policy explains how Novara Search Pte. Ltd. ("Novara", "we", "us", "our") collects, uses, stores and protects your personal data when you visit our website, send us your CV, apply to the Novara Network, or otherwise interact with us. We comply with the Singapore Personal Data Protection Act 2012 ("PDPA") and, where applicable, the EU General Data Protection Regulation ("GDPR").

Who we are

Novara Search Pte. Ltd. is a Singapore-registered private limited company operating a specialist recruitment business serving the offshore energy, subsea, survey, ROV, inspection, marine operations, offshore wind, cables, and data centre infrastructure markets across Asia Pacific, Europe, the United Kingdom, and Australia.

For the purposes of the PDPA and GDPR, Novara is the data controller for personal data we collect through this website, candidate applications, client engagements, and Network member onboarding.

What personal data we collect

We collect personal data that you provide directly, including:

  • Identity and contact information — full name, email address, phone number, postal address, nationality, date of birth, passport or national ID details.
  • Professional information — CV/resume content, employment history, qualifications, certifications, references, day-rate expectations, availability.
  • Offshore-specific information — certifications (BOSIET, OPITO, GWO, MIST, etc.), medical clearances (OGUK, ENG-1, Norwegian Offshore Medical), seafarer documentation, visa status, travel readiness.
  • Compliance information — tax residency, banking details (for contractor payment), right-to-work documentation.
  • Communications — emails, messages, call notes, application content.
  • Technical data — IP address, browser type, device information, pages visited, referring URL (collected automatically by our website and analytics).

We may also receive personal data about you from third parties such as referees, previous employers, professional networks (LinkedIn), publicly available sources, and existing Network members who refer you to us.

How we use your data

We process personal data for the following purposes:

  • To consider you for contract or permanent placement opportunities matching your discipline and availability.
  • To assess your suitability for Novara Network membership.
  • To present your professional profile to prospective clients for specific roles (with your prior consent).
  • To manage compliance, certifications, mobilisation, and contractor onboarding.
  • To administer payments, expense reimbursements, and contract administration.
  • To respond to your enquiries and provide ongoing client/contractor services.
  • To comply with our legal, regulatory, and tax obligations.
  • To improve our website, services, and operational processes.
  • To send you relevant role opportunities, industry updates, or Network communications — with your consent, and you may opt out at any time.

Legal basis for processing (GDPR)

If you are located in the European Economic Area, the United Kingdom, or Switzerland, we process your personal data on one or more of the following legal bases under the GDPR:

  • Consent — where you have actively agreed to specific processing (e.g. submission to a specific client for a specific role).
  • Contract — processing necessary to take steps at your request before entering into a contract, or to perform a contract you have entered into with us.
  • Legitimate interests — processing necessary for our legitimate business interests as a recruitment business, balanced against your interests and fundamental rights.
  • Legal obligation — processing necessary to comply with tax, employment, and regulatory law.

Where we rely on consent, you may withdraw it at any time by contacting us at operations@novarasearch.com. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.

When we share your data

We share personal data only when necessary, and only with:

  • Prospective clients — with your prior consent, for the purpose of considering you for a specific role or project.
  • Service providers — including IT and hosting providers, payment processors, accountants, professional advisers, and background-check providers, all under written confidentiality and data-processing obligations.
  • Compliance and certification verification bodies — to confirm the validity of offshore certifications and medical clearances.
  • Regulators and authorities — where required by law, court order, or to protect our or others’ rights.
  • Successors — in the event of a merger, acquisition, restructuring, or sale of the business, your data may be transferred as part of that transaction.

We do not sell your personal data to third parties under any circumstances.

International transfers

Novara operates globally. Personal data may be transferred to and processed in jurisdictions outside your country of residence, including Singapore, the United Kingdom, the European Economic Area, the Philippines (where elements of our delivery team are based), and other countries where clients or projects are located.

Where personal data is transferred outside the EEA or UK, we rely on appropriate safeguards, including the European Commission’s Standard Contractual Clauses, the UK International Data Transfer Agreement, or equivalent mechanisms ensuring an adequate level of protection.

Where personal data is transferred outside Singapore, we comply with the PDPA requirement to ensure recipient organisations are bound by legally enforceable obligations to provide a standard of protection comparable to the PDPA.

How long we keep your data

We retain personal data only as long as necessary for the purposes for which it was collected, including any legal, accounting, or reporting requirements.

  • Active contractors and Network members — for the duration of the relationship plus seven years thereafter.
  • Candidates not currently placed — up to three years from last meaningful contact, after which we will request renewed consent or delete.
  • Financial and tax records — minimum five years as required by Singapore tax law.
  • Marketing communications — until you opt out, plus a short period for record-keeping.

You may request earlier deletion of your data at any time (see Section 09).

How we secure your data

We implement appropriate technical and organisational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, or access. These include access controls, encryption in transit, secure hosting, regular reviews of our systems, and confidentiality obligations on staff and contractors.

No system is perfectly secure. If we become aware of a personal data breach likely to result in a risk to your rights and freedoms, we will notify the relevant supervisory authority and, where required, affected individuals.

Your rights

Depending on your location, you may have the following rights regarding your personal data:

  • Access — request a copy of the personal data we hold about you.
  • Correction — ask us to correct inaccurate or incomplete data.
  • Deletion — request deletion of your data where there is no compelling reason for us to retain it.
  • Restriction — ask us to restrict processing in specific circumstances.
  • Portability — receive your data in a structured, machine-readable format (GDPR).
  • Objection — object to processing based on legitimate interests, including direct marketing.
  • Withdraw consent — where processing is based on consent.
  • Lodge a complaint — with the Singapore Personal Data Protection Commission (PDPC), the UK Information Commissioner’s Office (ICO), or another supervisory authority.

To exercise any of these rights, email operations@novarasearch.com. We will respond within 30 days (PDPA) or one month (GDPR), or explain why more time is needed.
